Quality control: from a peripheral tool to the heart of the company

In partnership with

Relying on manual procedures, Excel sheets or external systems that are not integrated with the ERP for quality control produces fragmented data, slow processes and traceability that is hard to manage. To address this need, the Microsoft Dynamics 365 Business Central ERP platform integrates a quality management system that turns control into an automatic, traceable and strategic process.

In a competitive market, quality allows no compromise. Having a tool that governs it in an integrated, intelligent and automatic way is no longer an option, it is a necessity.

From theory to practice: automatic, specific controls

True efficiency is achieved when controls are triggered at the right moment, with no need for manual intervention. The platform lets you define automatic inspection rules that activate during the crucial phases of the flow:

  • At goods receipt: as soon as the arrival of an order from a raw material or component supplier is recorded.
  • At the end of production: on the finished product, before it is moved to the warehouse.
  • Periodically: for scheduled controls.

This means no lot can move on to the next stage without first passing the required tests.

The flexibility of tailor-made tests

Every product has its own specific features, which is why the platform makes it possible to create fully customizable quality templates. You can define:

  • Which tests to run: a precise list of controls.
  • What type of measurement to take: closed-list checks, boolean checks or numeric measurements.
  • Sampling: you can decide whether to test the entire batch or only a sample (e.g. 10% of the items received).

This flexibility ensures that every control is relevant, fast and effective.

Intelligent management of non-conformities

Identifying a problem is only the first step. The real challenge is handling it without halting operations. When a control fails, the system acts in an intelligent and automatic way:

  • Immediate transaction block: a raw material lot flagged as "non-conforming" is automatically blocked. The system prevents its use in a production order or its sale, eliminating at the source the risk of a defective component entering the supply chain.
  • Automatic quarantine: non-conforming goods can be moved automatically to a dedicated warehouse area through a transfer order generated by the system. The quality department can then analyze the issue without the material being mixed up with conforming stock.
  • Traceability and documentation: every inspection, whether passed or failed, generates a detailed report that includes the tests performed, the results obtained, the operator who carried out the control, the date and any photos or attachments.

This documentation is essential for managing supplier claims and for keeping a complete history, as required by industry certifications.

The benefits of quality control integrated into the ERP

Integrating quality management directly into the ERP brings concrete, measurable benefits:

  • Lower cost of poor quality: waste, returns and second-grade products are avoided by intercepting defects at the source.
  • Brand protection: only flawless products reach the market, safeguarding reputation and consumer trust.
  • Operational efficiency: control processes become faster and less prone to human error, freeing up time for higher-value activities.
  • Full traceability: every decision is tracked and documented, simplifying supplier management and regulatory compliance.

In the fashion industry, quality is not a detail, it is the essence of the brand. A defect in a material or a non-conformity in production can compromise entire collections, generate costly returns and, worse still, damage customer trust. Managing quality control systematically, without it becoming an operational bottleneck, is a challenge to face with high-performing tools.

This capability is one of the pillars of ModaSuite365, available on the Microsoft AppSource Marketplace as a Fashion-specific app built on Business Central.
